What this job involves
Delivery of the defined scope of work within customer services, execution of standard technical work orders and coordination of other facility related services. You will be working in an international orientated company for a global account. This job is focusing on on-site facility operations and includes the following:
- Delivery of the defined scope of work within customer services, execution of standard technical work orders and coordination of other facility related services
- Provide accurate financial reporting and constantly strive for optimizations
- Address timely any financial need/concern or issue
- End to end responsibility from quote till invoicing
- Understand the client needs and develop and implement standard communication tools and norms. The goal is to achieve User Satisfaction targets as set by the Regional Leadership team and Key Element Assessment surveys.
- Strive to “delight” the Client in all aspects of service delivery.
- Capture customer complaints/concerns and ensure all are recorded and addressed in a timely manner.
- Seek proactively for improvements/ issue handling prior to noticeable for client.
- Soft services
- Delivery of the defined and responsible scope within customer services, such as all dining services, landscaping, cleaning, meeting services, events.
- Develop and understanding of a working relationship with key representatives of the client and our service provides with whom you closely and daily collaborate with.
- Coordinate and facilitate processes to support projects.
- Implement and adapt global initiatives to best fit site purpose.
- Support the UX initiative program for the site with aim of increase visibility of the team and achieving target scores.
- Contribute to the communication strategy for the entire site team, inform all teams/employees for awareness or impact, align with P&G stakeholders message track and strategy.
- Act as multiskilled and involved in all site operations person towards other team members with a supportive mentality.
- Responsible for handling all your incoming technical work orders with customer excellence.
- Be able to identify work orders with highest priority linked to user impact.
- Lead by example to all teams in terms of communication handling of work orders.
- Align any potential cost with line manager prior to client feedback and implementation.
- Identify easy wins to increase user experience and client satisfaction.
- Timely report reoccurring issues/outages and share prevention recommendation with line and ES manager.
- Avoid outages by timely escalation to line manager.
- Act as back-up towards client and all on site teams regarding keys through JLL work order system (lost and found, additional needs).
- Act as back-up for anything related to move and inventory management
- Share optimization ideas of the site key management.
- Timely list and highlight the need of missing or spare parts. Request quotes with applicable vendors and align with ES manager for ordering.
- Being able to troubleshoot and repair basic issues related to plumbing, electricity and carpentry.
- Assist HVAC team in maintenance and filter replacement.
- Manage key inventory list and keep up to date
- Support key management process, following SOP and communication strategy to service client with any key related questions
- Support for HS&E department related to technical matters.
- Ownership of outages related to HS&E, follow up till full resolution
- Assist JLL safety owner during regular review and progress meetings with HS&E
- Proactively communicate any potential updates/concerns/issues.
- Identify potential process optimizations within your area of responsibilities and suggest solutions/recommendations.
- Ownership of collective protection equipment (ladders, etc.) from tagging to follow-up of legal inspection in the HS&E proprietary system (Vincotte online tracking tool for inspection).
50-60% ticket resolution as part of technical team and reporting to technical team lead, 50-40% for all other responsibilities. Final accountability is always to WEA as line manager. This might variate depending on focus areas at that time.
Desired Skills And Experience For This Job
- Enthusiastic and positive minded, “Can Do” attitude.
- Excellent oral, listening and written communication skills.
- Proven experience in data administration.
- Skilled in Microsoft Office package (Excel, PowerPoint, Word).
- Technically skilled in handyman crafts, such as plumbing, electricity (BA4/5) and basic HVAC maintenance
- Ability to handle multiple priorities for a team of people and work under pressure to meet deadlines.
- Self-motivated, confident and objectives focused.
- Ability to analyse and define customer needs.
- Demonstrated competency in work planning & subcontractor management.
- Good interpersonal skills / interpersonal sensitivity.
- Ability to interface as a contact between internal customers, outside vendors, contractors and suppliers.
- Good knowledge of professional Dutch and English. French would be a plus.
