Position Purpose
This position will provide administration support to the proposals and contracts team and work with
the Director of Proposals and Contracts to manage confidentiality and master service agreements.
Key Tasks and Responsibilities
· Responsible for coordinating sales contract items such as MSA and CDA’s and to ensure they
adhere to corporate guidelines and remain aligned for each client
· Perform timely creation of “In-Process” shells in Salesforce and folder creation
· Maintain version control of all documents in company document management system,
including folder creation
· Work closely with outside counsel for legal advice as required
· Interact regularly with the Director of Proposals and Contracts and Team Leads to ensure the
proposal and contracts priorities are aligned with company vision and objectives
· Ensure adherence to policies, processes, and guidelines necessary to maintain secure
documentation in Salesforce, CEMS and electronic files
· Fully execute processing of all departmental documents such as MSAs, CDAs, work orders and
subsequent change orders into CEMS, Salesforce and SharePoint as applicable. This includes
obtaining signature and departmental notifications.
· Performs timely follow-up and maintains up to date databases in CEMS and Salesforce
· Participates in various team meetings with sales team, marketing team, and operations team
in order to learn and contribute
· Coordinate RFI requests with internal departments and maintain RFI folders
· Assist in providing monthly, quarterly and yearly reports
· Takes responsibility for personal skill development in continuing to learn current
pharmaceutical standards and industry trends
· Performs other related job duties or responsibilities as assigned
Skills and Attributes
· An understanding and background in sales, business development, and clinical trial principles
and processes strongly preferred
· High level of interpersonal and communication skills to work effectively across the
organization and outside the organization with customers, suppliers, legal counsel and
affiliates both domestically and internationally
· Ability to work under pressure, meet deadlines, and adapt in a fast pace environment
· Ability to plan, develop and coordinate multiple projects and make sound decisions
· Self-motivated with exceptional time management skills and the ability to efficiently prioritize
tasks
· Confidentiality of all client information

· All Microsoft Office Products: Word, Excel, Outlook, PowerPoint, Visio
· Salesforce
· Adobe
· Office Equipment: Telephone, calculator, photocopier, fax and scanning machines
· Other company proprietary software
