For one of our clients we are looking for a temporary part-time receptionist(20 hours, 4h/day, 5x a week)

You are the face of the company, and us such you are a discrete person, responsible of conveying a professional, positive attitude to both internal employees and visitors.

Responsibilities

· Welcome and manage visitors (external employees, contractors, visitors etc.) in the most professional way.

· Manage incoming phone calls (answer and transfer calls).

· Arrange, schedule and support meetings as necessary:

o Maintain meeting rooms schedules;

o Participate when needed by preparing draft agendas and compiling reports as needed;

o Other required items in preparation for internal/external meetings.

· Keep office supplies inventory and ensure that meeting rooms and other common areas are well stocked with supplies.

· Be responsible for managing internal and external post.

· Assist occasionally with business travel arrangements and organizing off site conferences.

· Provide administrative support to different internal departments:

o Prepare documents by printing collating;

o Compose and prepare routine correspondence for signature, including performing simple translations;

o Perform other duties as specified by management.

· You will treat all information acquired during performing the job responsibilities as confidential.

· Be aware of company policy on and contribute to quality and environmental management by adhering to the requirements of the ISO 9001, 13485 and 14001 standards and internal procedures and work instructions.

Job Qualifications

· Professional Bachelor Office Management diploma, with preferred +5 year of relevant experience (pertinent experience can prevail the need of diploma).

· Must be able to read, write and speak English and Dutch fluently. Other languages (German, French) are a plus.

· Must be punctual and highly organized, able to multi-task and capable of meeting strict deadlines.

· Must be able to interact in a friendly and professional manner with employees, customers and all levels of management.

· Must have excellent typing and computer skills which would include knowledge of the Microsoft Package.

· Must be willing to help and complete all tasks with a positive attitude at all times.

· Must be self-motivated with the ability to see what needs to be done with no supervision.

· Must be able to work in a group or independently.

· Overtime may be required occasionally.

Contract length: 3 months

Part-time hours: 20 per week

*salary to be discussed in function of task requirement and level of expertise and number of hours required
