Summary:

Duties

Serves as a logistics support coordinator, Executive Assistant to the Director Operations and Lead Logistics Officer for high-level DoD and DoS visits.


Customer Service and Task Management


Serves as a logistics support coordinator to obtain hotel accommodations, motorcade transportation, communications phone and internet lines installation procurement, conference meeting rooms and NATO HQ security requirements from the team of service providers working at the NATO HQ International Staff (IS), the Joint Administrative Services (JAS) and the U.S. Army Europe (USAREUR) Distinguished Visitors Support Element (DVSE) for VVIP visits. Serves as the central point of contact for all USNATO Operations (OPNS) customer services including the assigned parking space program, solving parking space disputes, airport CD parking card program, taxi voucher program and the USAREUR ID and Privilege Card program. Provides all USNATO staff member the OPNS Service in and out-processing briefings; provides quarterly training on the unique application of the VAR system for Visitor Support and updated USNATO Operations support processes to all USNATO Administrative Assistants; provides quality customer service to all USNATO staff with professional courteous communications.


Clerical duties


Serves as Executive Assistant to the Director, Operations, to coordinate the Director’s daily meeting calendar and provides updated weekly Management Director’s meeting briefing documents. Prepares and reviews outgoing correspondence, messages, and reports for correct format, coordination and compliance with USNATO and NATO standards. Composes correspondence, messages, briefings and reports based on provided guidance. Organizes and maintain substantive subject matter files and documentation relevant to office functions, including maintaining logs of important passes and access documents. Provides advice to Operations staff based on knowledge and organization of office records, files, and reference materials. Ensures proper security controls are followed regarding controlled documents. Performs additional clerical duties such as arranging for supplemental clerical support and keeping the Operations Officer and staff informed of developments during absences and ed to scheduled meetings.


Logistics and Visit Support


Serves as the Lead Logistics Officer for high-level DoD and DoS visits. Access relevant Visitor Management databases daily to determine hotel reservation requests. Coordinates hotel reservations with USAREUR DVSE Protocol Office for DoD visitors. Coordinates and confirms hotel reservations with the Brussels JAS GSO Travel, Visits and Conference (TVC) support office. Reviews USNATO Control Officer DV transportation itineraries, provides advice for itinerary improvement, coordinates official vehicle and driver assignments with appropriate motor pool dispatcher. Coordinates and confirms hotel reservations with the Brussels JAS GSO Travel, Visits and Conference (TVC) support office. Directly assists the Operations Director in coordinating logistical support for POTUS, VPOTUS, SECSTATE and SECDEF delegations and Advance Teams participating in NATO leaders and 5 annual Minister level meeting. Prepares PowerPoint Briefings and Trip Books for Advance teams outlining scenarios for meeting and events at NATO HQ. Coordinates the procurement plan and reconciliation for hotel accommodations and motorcade transportation assets. Obtains delegation personnel security data to submit NATO credential request. Conducts NATO HQ site surveys with Washington advance teams. Coordinates meetings with NATO Security and NATO Council Secretariat offices to successfully negotiates the special Washington delegation visit support requirement. Administers requests, procurements, and reconciliation for VVIP representational requirements. Coordinates administrative and logistical support of U.S. Meeting rooms during NATO meetings attended by the President, Secretary of State or Secretary of Defense and their delegations. Serves as a member of the USNATO Summit / Ministerial Task Force and Travel Team responsible for administrative and logistical support.

Qualifications and Evaluations

Requirements:

EXPERIENCE: Minimum three year of experience in an administrative office with an emphasis on logistics, protocol, and visitor support.


JOB KNOWLEDGE: Knowledge of NATO, DoD and DoS organizational structures. Familiarity with DoS and DoD travel regulations and USNATO Management policies, particularly in the areas of VVIP visitor support and access to NATO facilities.

Education Requirements:

High School (secondary school) diploma.

Evaluations:

LANGUAGE: Fluency in English required. This may be tested.


SKILLS AND ABILITIES: Strong office management skills are required. Able to communicate proficiently in speech and in writing. Able to multi-task to meet customer needs and to provide excellent customer service. Able to use judgment to give advice to customers and senior-level government officials and make quick decisions. Proficient in Microsoft Office (Outlook, PowerPoint, Word and Excel).

The pay plan is assigned at the time of the conditional offer letter by the HR Office.

COVID-19 Requirements for Eligible Family Members
