PURPOSE OF THIS JOB

We are looking for an HR Payroll & Admin Officer to join our team and support the day-to-day activities of our Human Resources department. The responsibilities include processing employee data, updating company policies and assisting in the hiring process. You will also prepare the payroll and salary inquiries.

To be successful in this role, you should have solid organizational skills and be familiar with payrolling. Ultimately, you will make sure all HR operations (mainly payroll & contracting) run smoothly. We have around 100 (inter)national FTEs on our payroll and we also process timesheets of our independent/freelance partners. You will be the one to answer all the questions from our employees regarding HR, salary, holidays etc.

Of course you can contact our social secretary-support if needed. HR Admin Officers & Payrollers are good with numbers, are social and can be trusted with sensitive information. They also have great communication skills to interact with colleagues and executives. The goal is to ensure personnel receives the correct compensation in a timely manner.

DETAILED TASKS AND RESPONSIBILITIES

Payrolling part of the job (50%)

  • SPOC for all payroll/salary related questions
  • Gather information on hours worked for each employee
  • Calculate the correct amount incorporating overtime, deductions, bonuses etc. with assistance of a computer system
  • Prepare and execute pay orders through an electronic system or distribute paychecks
  • Administer statements of payment to personnel either electronically or on paper
  • Process taxes and payment of employee benefits
  • Keep track of hour rates, wages, compensation benefit rates, new hire information etc.
  • Address issues and questions regarding payroll from employees and superiors
  • Prepare reports for upper management, finance department etc.

HR Admin Officer part of the job (50%)

  • SPOC for our internal employees, managers, and external HR partners
  • Maintaining physical and digital personnel records like employment contracts and PTO requests
  • Update internal databases with new hire information
  • Create and distribute guidelines and FAQ documents about company policies
  • Gather payroll data like bank accounts and working days
  • Support the Global Talent Manager in scheduling job interviews, publishing jobs on our career page and contacting candidates as needed
  • Prepare reports and presentations on HR-related metrics like total number of hires by department
  • Respond to employees’ questions about benefits(for example, number of vacation days they’re eligible for)

Requirements

  • Proven experience (at least 5 years) as payroll & HR officer
  • Trustworthy with attention to confidentiality
  • Outstanding organizational ability with great attention to detail
  • Excellent communication skills
  • High school diploma or equivalent; Bachelor in HR/Payroll, office management or relevant field is a plus
  • Willing to work on site in our HQ at Tubize(ofcourse within the current COVID19-home office regulations)
