Join our team as a Management Assistant in Public Affairs & Media Relations Department, where you’ll play a key role in boosting organizational efficiency.
About the mission:
As a Management Assistant in the Public Affairs & Media Relations Department, your primary responsibility will be to provide administrative and organizational support to the Public Affairs & Media Relations team and assist in ensuring efficient communication operations within the organization.
You will work closely your team members to help streamline processes, maintain records, and facilitate effective communication both internally and externally.
About the job :
Your key responsibilities will be :
- Coordinating meetings between departments: Agenda – Reporting. Manage and coordinate the agenda, ensuring all activities are scheduled efficiently.
- Responsible for all Tasks and Planning Coordination using Airtable. You will take responsibility for all tasks and activities within the Public Affairs & Media Relations Department. You will use the Airtable platform to coordinate and plan departmental activities and projects.
- Handling the Press Coordination NL/FR Act as the first point of contact for journalists in both Dutch (NL) and French (FR) languages. Coordinate the distribution of communication materials to the press. Organize press events and moments as needed.
- Doing media coverage and press statistics + press review.
- Supporting video process. Assist in planning of recording and distributing video content with the team and with our editorial department.
- Staff coordination. Coordinate and support communication team members, ensuring tasks are assigned and completed efficiently. Foster collaboration and effective communication among team members.
- Coordinating webinars – events. Manage the coordination of webinars and events organized by the Public Affairs & Media Relations Department. Oversee coordination, including scheduling, technical arrangements, and promotion.
- Handling agenda/support Local Manager and team. Provide administrative support as needed to ensure smooth operations.
- Coordinating various letters and Public Affairs Mailings. Ensure that these communications are organized and distributed effectively.
These responsibilities encompass a wide range of tasks and coordination efforts within the Public Affairs & Media Relations Department. The role of a Management Assistant is vital in ensuring that communication operations run smoothly and efficiently, both internally and externally.
About you :
- Bachelor’s degree in communication, business administration, or a related field is preferred.
- 5 to 10 years of proven experience in administrative roles or similar positions.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills in Dutch and French. Knowledge of English is a plus.
- At ease in external contacts and very good oral presentation.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and a commitment to maintaining confidentiality.
- Flexibility and adaptability to changing priorities and tasks.
