As a Project administrator you will play a key role in the daily organization and business support to our clients and client teams. Every day, your work will make an impact that matters while you thrive in a dynamic culture of inclusion, collaboration and performance. You will have varied responsibilities, among which:

Billing & related tasks:

  • Provide assistance with the preparation of billing details
  • Keep track of budgets and billing arrangements
  • Communicate with different stakeholders (clients, internal client teams, internal billing teams…) to accurately and correctly prepare invoices
  • Coordination of purchase order request and invoice issuance
  • Ongoing management of project financials ensuring weekly/monthly spend to budget is monitored, controlled and communicated to project team
  • Monitoring of client engagement risk, obtaining PO and SOW documents, following up on quality and control requiremen

Other Administrative responsibilities:

  • Provide administrative assistance with project based work; be able to work independently in support of a project team
  • Provide assistance with administrative duties such as handling incoming and outgoing e-mail, document filing on internal and external databases;
  • Updating and monitoring of case management system for reporting and reviewing purposes
  • Monitoring and follow up of ongoing global projects with internal team and member firms/offices
  • Maintenance of keeping up to date of live global materials/references to provide updates to member firms/offices
  • (Global / local) coordination of compliance authorization lists and submitting/tracking of client approval for out-of-scope requests;
  • Planning of team availabilities and agenda’s for key client project deliverables
  • Organization of team brainstorm activities / coordinate recurring status meetings
  • Monitoring client and industry related internal updates in terms of newsflashes, events and (e-) learnings
  • Preparation and coordination of client related (quarterly / annual) business review material and content
  • Taking meeting notes to report back to the internal team and client

Let’s Talk About You

  • A Bachelor degree Office Management or similar is an asset, but no must
  • A relevant working experience (2 to 3 years) is an asset
  • An excellent knowledge of English and Dutch or French is a necessity, both written and spoken
  • You have a very good knowledge of MS office applications (Word, Excel, Outlook, etc.)
  • You have an eye for detail, you quickly spot inconsistencies/errors and you provide suggestions for improvement
  • Ability spot efficiencies in processes and work and build out new processes
  • You demonstrate analytical skills both in terms of logical reasoning and analyzing numerical data. You are very accurate, proactive and communicative
  • You are a great team player but know how to work independently
  • You have good organizational skills and a strong sense of responsibility
  • You are flexible in changing circumstances and you are resistant to stress.You are outgoing and know how to communicate with different stakeholders
