Purpose of the position

The Purchase-to-Pay Support Manager is part of the Purchase-to-Pay function and takes responsibility over the invoice control activities and is the Purchase-to-Pay Accounting Manager’s right hand and designated back-up. Emphasis lies on assisting the team in invoice control activities; managing outsourced suppliers; on actively driving special projects related to the overall Purchase-to-Pay processes and on mastering the overall process (continuous optimization & documenting).

Main Tasks & Responsibilities

Invoice Control Activities (30%)
  • Matching of invoices against expected bills in Finesse system
  • Take action in the event of mismatching - understand cause of mismatch and take action to resolve mismatch in future
  • Ensure adequate accruals at monthly closing for all expected costs for which no invoice has yet been received
  • Ensure approval of direct operating expenses - follow-up internally with respective departments, ensure courteous and efficient contacts with suppliers while handling any invoice issues.
Outsourced Supplier Management (20%)
  • Pro-actively manage supplier Accelya in guaranteeing the overall required quality of the Finesse system (matching invoices against expected bills)
  • Ensuring contract database is up to date with the latest information - introduce new (type of) contracts
  • Evaluate further tool developments and/or process improvements with Accelya - develop business case and manage implementation
  • Pro-actively manage supplier LGBS in guaranteeing the overall required quality of the FuelPlus system (fuel invoices)
  • Ensure accuracy of fuel cost at closing being one of the key DOC of the company
  • Set-up supplier steering dash board with most important financial & quality KPI’s
Process documentation and development (20%)
  • Ensure continuous process optimization in the areas of invoice control and accounts payable
  • Evaluate and strive for harmonization across the LH Group where it makes sense for SN
  • Exchange within the LH Group on best practices
  • Ensure Standard Operating Procedures are kept up to date with latest process developments
  • Set-up KPIs for steering the team across the different processes in assuring the required accounting quality
Special Purchase-to-Pay Accounting Projects (20%)
  • The Purchase-to-Pay Support Manager will be in charge of specific projects or assignments with respect to implementation of new tools and/or processes.
  • Upcoming projects:
    • Implementation new approval tool
    • Implications introduction procurement tool (Purchase Order process - 3-way match)
    • Implications possible introduction payment factory
Back-up team lead Purchase-to-Pay team (10%)
  • The Purchase-to-Pay Support Manager will act as back-up for the Purchase-to-Pay Accounting Manager and will assist in managing the team.
This position reports to Purchase-to-Pay Accounting Manager.

Your profile
  • Minimum bachelor degree in Finance/Accounting
  • Previous working experience of 3-4 years in a finance/accounting (purchase-to-pay) role is an asset
  • Fluent in English (both spoken & written communication), preferably Dutch and/or French
  • Good knowledge of Microsoft Office (Excel, Word, PowerPoint)
  • Prior experience with ERP tools (e.g. SAP) or other financial applications is an asset
  • Passion for aviation
  • Analytical skills, facts and figures minded
  • Comfortable in a fast changing environment
  • Interpersonal skills willing to take 1st steps towards leading a team
  • Process review oriented & project management skills
  • Independent worker: problem solver, taking initiatives
