Requirement Title: Principal Assistant (Business Solutions)
You will be responsible for duties such as:
Providing support, evaluation, interpretation, assistance and management of information related to staffing, recruitment, onboarding and updating of the workforce assigned to the work area. Assist, as appropriate in management of civilian, military and IWC staffing so that all Human Resources (HR) related processes and procedures are followed, all HR related artefacts are complete and correct, and Section’s HR data is up-to-date, complete and correct Assist in management, as appropriate, in recruitment and release process for civilian, military, temps, interns, consultantsand interim workforce capacity (IWC) workforce;
Assist in lifecycle of events associated with Peacetime Establishment (PE) Post positions Assist in management of activities required for submission of recruitment requests and tracking follow on activities, requiring close coordination with Agency HR department; Assist in management of branch workspace and facilities; Assist in management of branch training requirements; Create staff-related documents, publications, forms and other required deliverables as necessary Create HR related reports and/or presentations to variety of audiences at various level of decision-making As necessary, read and disseminate the Agency’s health & safety regulations; and contribute to monitoring of Section staff in this area Assist with management, through direct liaison with all appropriate external offices (HR, Registry, Acquisitions, A/R, etc.) of all administrative activities including document control, publications, forms, evaluations and awards/decorations Assist with organisation of SMC events, including conferences, social events and event planning. Contribute to completion of any Section Business-related studies, documents, analyses or papers, in particular Business Execution Plan.
Requirements:
- Required Security Clearance: current NATO Secret clearance (or national equivalent) already in place, and allowed to live and work in Belgium without restriction
- 10+ years experience in areas such as recruitment, staffing analysis and contractor management
- Prior experience of space management over multiple locations
- Proven ability to effectively communicate orally and in writing, with good briefing skills
- Knowledge of Peacetime Establishment process
- Prior experience of working in international environment comprising both military and civilian elements
- Knowledge of NATO responsibilities and organization, including ACO and ACT
- Awareness/Knowledge of ITIL
- Excellent command of spoken and written English, with a proven ability to communicate effectively orally and in writing
- Sound knowledge and experience in use of Microsoft Office automation packages (Word, Excel, PowerPoint and Access or other database application), in use of computer-based tools for project control and experience in maintaining and established web pages
