About the Role
Do you have a Bachelors degree and 2-3 years of work experience? Would you like to learn more about working at Swift and especially learning more about our Business Development team? Would you like to expand your knowledge and experience to grow further within the company? Then this is the right opportunity for you! We are looking for an Executive assistant to our Head of Business Development. In this role you will be mainly responsible for administrative and coordinating tasks, but it will also give you the opportunity to grow your career within Swift and to learn more about the Business Development group.
Your responsibilities will be:
- To provide pro-active diary and email management for senior management. Ensuring urgent items are dealt with or highlighted and that the diary is well managed to take account of conflicting requests and demands. This will include coordinating and booking both external and internal meetings
- Collect and prepare appropriate material for the team meetings and other major events (ppt presentations, minutes of team meetings, etc.)
- To provide support for senior management in respect of their varying travel requirements. To investigate travel options and book appropriate travel, including any visa requirements
- Liaise with the Board office for quarterly board meeting, including logistics, travel and expenses
- Organize events / offsites (diaries / catering / logistics / travel & expense) and book restaurants and catering for team dinners and customer meetings
- Organize the Sibos diary
- To complete and submit all expense claims for senior management
- To provide general secretarial and administrative support
- Generate reporting on a regular or ad-hoc basis as requested
- Answer to and act upon ad hoc requests
Professional knowledge and expertise:
- A minimum of 2 years professional work experience and at minimum a Bachelors degree
- High level of verbal and written communications skills
- Excellent IT knowledge including MS Outlook, PowerPoint, Excel and Word
- Keen attention to detail and focused on quality
- Discretion and confidentiality
- Ability to multitask and prioritize daily workload
- Strong planning, organisational and time management skills
- Ability to use initiative to resolve issues and adapt to unexpected events
