Are you looking for a new opportunity in a fast-moving global company with a family feel? A job where you could have an impact? We are looking for an HR Administration Manager to join our growing team.
The HR Administration Manager (HRM) will be required to lead the management of the HR Administration services (which includes both managing the SLAs for production of employment contracts and Data Management of Employee data), whilst also assisting the team in the delivery of operational administrative needs.
About the team and location
The key individual will ideally work from the RHEA headquarters in Wavre, but candidates wishing to work from one of our other European offices will be considered (Leiden -NL, Frascati - IT, Darmstadt - GE, Prague - CZ, Harwell -UK)
Operating as the link between Recruitment, Payroll & Global Mobility departments, as well as the employees, the HR Administration team also interacts closely with the Operations Support Officers within each of the business units across all locations, providing workable, day-to-day, HR services.
This position is open to protected categories under Italian Law 68/99 (“Rules for the right to work of disabled people”).

Tasks and Activities
The scope of work will include:
- Leading the HR Administration team, managing all day-to-day administrative activities of the HR department.
- Performing general administrative duties that will assist in the day-to-day operations of the HR Department (task emails, onboarding and offboarding related tasks, time reporting, new hire formalities, etc.).
- Supporting the drafting of employment letters, contracts, contract addendums, freelancer contract extensions and employment certificates. Managing the team priorities to meet agreed SLAs for urgent contract production.
- Ensuring service excellence of the HR Ticketing system, meeting agreed response and resolution SLAs and the HR Inbox.
- Being responsible for the HR employee files and HR ERP tool and ensuring up-to-date accuracy at all times.
- Managing the basic employee relations casework and supporting the HRD in dispute resolutions, disciplinaries, grievances, absence, retirement and redundancy cases when required.
- Advising recruitment and hiring managers on the terms and conditions of employment and sharing best practice knowledge with them.
- Developing, and then leading, the new starter inductions and leaver exit interviews process.
- Supporting change management processes.
- Devising development and growth plans for HR Admin team members. Mentoring and coaching the other HR Admin/Data team.
- Providing analyzed factual data and assessment for the HR Monthly Report.
- Continuously monitoring and reviewing HR Admin and Data policies and processes and implementing continuous improvement where necessary.
- Supporting the administration of key HR projects ad procedures as and when required.
- Contributing to the implementation, management and administration of the existing HR processes. Making suggestions for the development and update of current and new policies and procedures. Assisting in the development of HR policies and procedures for consistency, compliance and efficiency.
Skills and Experience
The following skills and experience are mandatory:
- A Bachelor’s degree in HR or another related discipline, or equivalent experience.
- A minimum of three years (preferably five years) of proven HR or Administration experience and previous experience in successfully managing a small team.
- Experience with Employee Relations and legal and contracts work.
- Experience in multinational environments.
- Exceptional organizational and communication skills together with proven leadership capabilities.
- A proactive team player with strong customer service and problem-solving skills.
- Focus on delivery and proactivity.
- Able to confidently make decisions on behalf of the team.
- Able to maintain confidentiality and act with discretion and diplomacy.
- Excellent computer software knowledge, including database applications, ERP and spreadsheet applications to produce various reports.
- An excellent customer service mindset with a passion for HR.
- A positive can-do attitude.
- Fluent in English and French or Dutch (spoken and written).
The following skills and experience would be highly desirable:
- In-depth knowledge and experience in the application of employment legislation in multiple European countries.
- Working knowledge of other European languages such as Italian, Spanish or German.
