Omschrijving:

Your work as OFFICE ADMINISTRATOR consists of 3 major parts:

“FRONT DESK” & ADMINISTRATION:
  • Greeting visitors and screening incoming phone calls
  • Maintenance, protection and security of physical and electronic files systems, records and archives
  • Coordinating appointments and meetings and managing staff calendars and schedules.
  • Purchasing office supplies, equipment, and maintaining proper stock levels.
  • Answering or referring requests for documentation and information
  • Preparing presentations and other management-level reports
  • Logistical organization of seminars, general events, Executive
  • Committee meetings, General Assembly, and minute-taking
  • Liaison with members and partners
  • Dealing with correspondence, complaints and queries
  • Preparing letters, presentations and reports
  • Petty cash maintenance and monthly reckoning
  • Assisting bookkeeping, control of invoices and payments
  • Coordinating production including translation and proofreading of documents
  • Attending staff meetings and other meetings as requested by the hierarchy

HR LIAISON:
  • Ensuring HR functions by liaising with social secretariat on employment issues (incl. contracts) keeping personnel records up to date and arranging interviews
  • Making sure that CCME employees are paid correctly and on time and benefits administration (liaison social secretariat)
  • Ensuring that health and safety policies and welfare of all employees are up to date

IT/DATA:
  • Website content update and maintenance (WordPress)
  • Using a range of software packages, including Microsoft Word, Excel, Outlook, Access and PowerPoint.
  • Managing databases
  • Assisting the office staff and members in administrative aspects of the work as needed
Profiel

The perfect office administrator has the following profile:

  • Languages: proficiency in English and French is essential, other languages are a plus
  • Applicants need to be entitled to work in Belgium and should agree with the aims of the organization
  • IT: standard office programs and wordpress
  • Knowledge of administrative environment in Belgium, in particular Brussels region an asset

Aanbod

What does our client offer you ?

  • There might be the opportunity for a permanent contract
  • 38 h work/week on 5 days (occasional extra hours and weekend compensated by time off) with 2-3 physical presence in office and 2-3 remote work (arranged with management)
  • Salary depending on experience and qualifications, initially in range of 2.800-3.200 gross/month
