Facility/ Project Manager Scoober Belgium

As our Scoober facility/ project manager, you’ll be the central point of contact for our ‘Scoober’ hubs in Belgium regarding contracts, suppliers, hub facilities and equipment.

What is a hub? It is the place where the drivers / brand ambassadors come to check-in and get their working material before they start their shift.

This job has a local/country scope and reports to the local project manager.

You Will Deliver In The Area Of

Contract management and negotiation For the scoober hubs/offices around Belgium:
  • You will manage, monitor and maintain service contracts with local suppliers.This includes searching for and analyzing offers of new suppliers (property, utilities, cleaning, security, insurance etc.);
  • Support local Scoober management in hubs/offices organization and administration, including the set-up of new cities from a facilities perspective;
  • Investigate smart investments in future real estate and equipment and make proposals to management, and advise and assist management in negotiations, partnerships and improvement projects with suppliers.
  • Create budgets and keep grip on costs of equipment
Fleet Management
  • Be our vehicle fleet and equipment manager. Manage, maintain and improve local vehicles fleet of Scoober (800 – 1500 bikes + company vehicles).
  • Collect and analyse information concerning vehicles and equipment and act as single point of contact towards external suppliers
  • Track supply and stock levels in the hubs to avoid over or undersupply
Compliance
  • In a shared effort with our HS specialist, coordinate and enforce Corona safety measures, OHS & fire safety procedures within the belgian hubs/offices;
  • Keep abreast with and implement (local) legislation, ensuring Scoober is compliant in all ways
  • Be in charge of other administrative tasks to support local operations and ensure compliance
Global Initiatives
  • On occasion, you will be the contact person for global projects in the scope of facility management and implement corporate procedures in the scope of facility management in belgium (a functional reporting line to the Global Facility Manager based in Amsterdam);
Hub Optimization
  • Help implement globally defined processes in our local hubs
  • Spot local best practices and implement these throughout Belgium
What You Need To Lead In This Position
  • Proven work experience in a Facility Coordinator or Office Manager role in the last 1-2 years;
  • Fluent in English, Dutch and French (both written and spoken);
  • Excellent organizational skills and experience with managing administration, equipment and related to those processes in a dispersed structure;
  • You are detail oriented and are happy when all the i’s are dotted.
  • You are able to demonstrate empathic intelligence towards the entirety of operations
  • You have a hands-on personality and the ability to be resourceful and proactive when issues arise; no matter the stakeholder.
  • Affinity with lean six sigma, a green or black belt is a plus.
  • Experience with project based work is a plus
  • You have excellent communication skills with any type of stakeholder and alignment with the management.
  • Strong computing skills and proficient knowledge with common office tools.
  • Experience with fast paced or (e-) marketplace environments is an advantage
  • A valid drivers licence is a plus
