Job summary:

The Fleet Operations Specialist is supporting the Fleet Manager on the EU Fleet to ensure all activities in scope are running smoothly, resulting in a great employee experience. He/she will

manage the day-to-day fleet operations and reporting along existing structure and continuously seek to improve processes and data.

Main accountabilities are ensuring qualitative & timely follow-up of questions & requests from employees, operationally managing the (internal) suppliers, guarding the driver lifecycle, and invoice follow-up.

Major accountabilities/responsibilities:

Support drivers operationally trough

• Answering queries from drivers

• Informing drivers on how to proceed and process changes

• Point of contact for operational topics

• Order and delivery process

• Pro-actively reaching out in case of changes

• Support (pro-actively) communication on global guidelines & expectations

Support the driver lifecycle (hiring/promotion, changes of car, off boarding, international

mobility)

• New hire management

• Receives info on new hire/promotions

• Organize timely (day 1) temporary car incl Fuel/Electricity card

• Initiate ordering process

• Off Boarding

• Receives info on leaving employee

• Set-up returns of the car

• Damage check & final payroll info

• Changes of car, driver

• Pool Car management (cleaning, damage repair, reassignment, early contract terminations)

• Moving cars from one driver to other

• Temporary Car Management

Partnership management

• Initiates the multi-bidding process with leasing companies

Sustainability and change management

• Support the Fleet manager with everything from ad-hoc analyses to strategic initiatives, to make our Fleet Management program a key value contribution to the company’s mission and goals

• Act as an EV ambassador for increased EV adoption and culture shift towards a global sustainable fleet

Finance & Admin

• Invoice check and approval & follow up invoice issue

• Perform other related administrative and supportive duties

EU & Local Reporting

• Work with the Fleet management team and internal stakeholders to maintain visibility and global database of cars ensuring compliancy & data quality

• Provide reports to internal stakeholders (payroll, finance, procurement, sustainability department...)

Experience in Fleet support or automotive industry – Good understanding of Fleet Operations

Competencies:

• Highly motivated self-starter

• Excellent communication skills: ability to adapt communication style to the audience (cultural awareness)

• Excellent English verbal and written communication; German is a plus. Other languages depending on the countries covered are beneficial

• IT savvy: easy understanding and use of IT tools & systems: ability to quickly master new web-based tools to organize tasks

• Comfortable with data and basic data management tools, to be able to quickly share updates on any fleet operational related questions

• Well organized, Reliable with good follow-up on topics

• Customer focus oriented with excellent customer service skills and always strive to improve information flow

• Solid understanding and knowledge of business and Fleet processes and highly attentive to detail to be able to understand, improve and adapt workflows

• Excellent knowledge of car processes
