As a rapidly growing and dynamic global Quality Assurance team, we are looking for a dedicated, quality minded senior administrative assistant to support us.

Reporting to:

Senior Management Assistant. This position will be part of the admin pool.

Key Accountabilities/Responsibilities:

  • Coordinate daily calendars of the Head of Quality and senior managers.
  • Support team in booking cost effective travel arrangements for internal and external stakeholders in line with the company’s travel policy;
  • Liaise with senior management/team including scheduling meetings, handling logistics (sending materials for review prior to the meetings, taking and distributing notes and fielding general queries from members)
  • Plan and manage internal team meetings, off-site events and local corporate activities
  • Manage business related meeting arrangements internally and externally
  • Manage the Quality Assurance budget, invoices and purchase orders.
  • Support the Quality team with onboarding of new colleagues, supporting regulatory authority inspections, taking minutes of meeting and preparing presentations and overviews.
  • Acting as the liaison between different functional areas and executives.
  • Provide support to other employees and office visitors by handling variety of tasks in order to ensure, that all interactions between the organization and others are positive and productive.
  • Work closely with other (senior) administrative assistants of argenx.

Desired Skills and Experience:

  • Minimum 6 years proven experience as an Executive Assistant/Office Manager in fast paced, emerging organizations; Minimum 3 years prior experience supporting C-level executives
  • In depth industry experience in operating roles
  • Previous experience in a similar role
  • Excellent organizational skills and ability to prioritize as well as being highly flexible in a fast paced environment
  • Strong project management skills with experience in managing multiple projects and associated budgets
  • Ability to take initiative, being highly proactive and make decisions
  • Driven to work collaboratively and cross-functionally
  • High level of professionalism, discretion and confidentiality
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Extremely high levels of emotional intelligence and ability to manage ambiguity
  • Significant experience working across cultures within international environments
  • A creative mind with an ability to suggest improvements
  • Fluent in English and Dutch.
