About Our Client

The company is a European Association located in Brussels

Job Description

As an Event Coordinator you:

  • Manage setup and execution of events in the reservation system in close cooperation with the Event Manager
  • Manage hotel bed- and meeting room allotments in line with cut-off dates and demand
  • Allocation of meeting rooms and meeting tables (equal to exhibition stands) based on historic data and customer requirements
  • Provide support by phone and mail to member companies before, during and after the event
  • Preparation and consolidation of internal event documentation
  • Ensure good data standards are kept in the registration system
  • Manage hotel- and transportation bookings for the staff attending at events
  • Be on-site during the event and facilitate the smooth running of those days

The Successful Applicant

The ideal profile we are looking for:

  • You ideally have 1-3 years of relevant experience in organization and delivery of physical or online event projects (conferences, meetings, webinars, seminars) with networking and conference activities
  • If you have experience in an event agency or in an hotel reservation department it’s a big plus
  • Fluent command of English and French or Dutch
  • You are highly organized and give attention to detail
  • You have good project and time management skills (good at prioritizing and handling challenging deadlines)
