Job purpose & objectives:
Ensure secretarial and administrative support to the Div./Dept. staff

Accountability
  • Ensure proper execution and coordination of all administrative activities.
  • Optimize logistic and administrative support to managers by anticipating needs.

Tasks and responsibilities
  • Organize external meetings in respect of applicable internal and external requirements
  • Prepare sales meetings of concerned Business Unit
  • Organize, prepare materials and documents for congresses/events
  • Manage contacts with marketing agencies and outside printing companies; handle vendors and supplier database
  • Master financial & purchasing process: purchasing offer process and related documents for material, projects or services delivered
  • Prepare and follow-up of professional services agreements, sponsorings, contracts or equivalent, including Mdeon when required and payments ...
  • Centralize administrative documents, and follow-up internal approval flows
  • Prepare visits of professional relationships when required
