To reinforce its Offices team, Cofinimmo is looking for a new

Property Management Assistant M/F

FUNCTION

The Property Management Assistant provides administrative support within the Offices department of Cofinimmo.

RESPONSIBILITIES

General Assistance to the Head of Offices:

  • Agenda coordination and follow-up
  • Centralisation of incoming phone calls and correspondence
  • Organisation of internal and external meetings and presentations
  • Writing meeting minutes
  • Editing letters, documents and presentations
  • Assist in new & investment/divestment projects (Powerpoint)
  • Organize business travels
  • Expense accounts follow-up
  • General filing
  • Transmission of information to the other departments

Assistance to Property Managers Offices:

  • Close collaboration with the Property Managers: agenda, planning, phone calls, meetings, preparation of various files,…
  • Close contact with various internal departments: Service Desk, commercial, legal, accounting,…
  • Single Point of Contact, together with the Property Manager, for our clients and service providers
  • Preparation and follow up of purchase orders and sales files (in SAP)
  • Follow-up of orders, invoicing in SAP, workflows in Workinimmo
  • Verify encoding in SAP, Noveco, Workinimmo,…
  • Monitor the agreements’ validity, leaseholder’s obligations,…
  • Maintenance of management files & analytical databases
  • Administrative support and follow-up of legal files
  • Follow up the rent increases and indexation
  • Follow up of complaints in collaboration with our Service Desk
  • Follow up insurance files and legal issues
  • Proactive collaboration on improvement of our services (both internal and external)

PROFILE

Hard skills

  • Minimum a Bachelor’s degree, a Master’s degree is preferred
  • Experience 1 to 2 years in a similar position
  • Good knowledge of the languages NL, FR, ENG: oral and written
  • Office automation knowledge MS OFFICE: Word / Excel /Powerpoint /Outlook

Soft skills

  • Priority Setting and time management
  • Advanced knowledge of Microsoft Office tools
  • Hands-on with different IT tools (SAP, Noveco, Autocad, Workinimmo, Jool, Cofidoc, cTools, Sharepoint, governmental IT platforms,…)
  • Proactive and efficient internal & external communication
  • Hands-on and takes initiative, always Customer oriented
  • Planning and organisation
  • Rigorousness (sense of responsibility and precision)
  • Basic legal knowledge and knowledge of insurances, leases, contracting,…
