Position: Events Coordinator
You will be part of the Global Office as a dedicated resource to the Corporate Affairs team.
The Events Coordinator will work closely with the Events Senior Manager and will be responsible for managing all aspects of event planning and execution for our organisation. This role requires an experienced professional with a keen eye for detail, strong organizational skills, and the ability to work under pressure to ensure the successful delivery of events. The successful candidate will work closely with internal Global Office teams, vendors, and BDO firms to ensure all logistical and operational elements of the event are in place and executed flawlessly.
Key accountabilities
- Support the delivery of events from concept through completion, dealing with logistics for face-to-face events and technical requirements for online events, ensuring that all event details are managed effectively under the guidance of the Senior Manager
- Develop and maintain event timelines, ensuring that deadlines and goals are met.
- Oversee vendor and supplier contracts, manage event budgets, and ensure cost efficiency without compromising quality
- Coordinate logistics, including venue selection, catering, transportation, audiovisual equipment, and accommodations
- Oversee the budgeting process for fee approval
- Serve as the main point of contact for all stakeholders maintaining strong relationships and clear communication and ensure their expectations are met or exceeded and address any concerns promptly
- Proficient in configuring and managing event management software systems, such as Cvent, Certain, and RingCentral, to ensure seamless event execution and operational efficiency
- Manage event website (SharePoint), registration, delegate communication, and post-event follow-up to ensure a positive experience for all involved
- Lead the on-site setup, coordination, and execution of events, ensuring all activities are carried out as planned, adhere to the schedule, and run seamlessly
- Troubleshoot any on-site issues and provide immediate solutions to ensure a seamless experience for attendees and stakeholders
- Conduct post-event evaluations, gathering feedback from delegates and internal teams to assess the success of the event.
Qualifications and Experience
- Bachelor’s degree in Event Management, Hospitality or a related field (or equivalent experience)
- At least 4 years in event planning is required, with a proven track record of managing large-scale or high-profile events (in-person and virtual)
- Strong written and verbal communication skills in English, with the ability to interact effectively with clients, team member and high level individuals. Fluency in another European language is an advantage
- Highly collaborative person with the ability to build and maintain strong and effective working relationships with the team and stakeholders, regardless of location
- Strong project management skills and the ability to manage multiple events simultaneously
- Excellent organisational and time-management skills with great attention to detail
- Flexibility and multi-tasking: will need to jump from one project/task to another and re-prioritise as needed
- Ability to think creatively and solve problems quickly under pressure
- Proficiency with MS Office (Word, Excel, PowerPoint and Outlook) with a high level of expertise in Microsoft Excel, SharePoint and events-related systems (e.g. Cvent)
- Flexibility to work evenings and weekends as needed, depending on event schedules.
- Familiarity with social media platforms for event promotion
- Certification in event planning (e.g., CMP – Certified Meeting Professional) is a plus.
