For our Facility & HR department at the Corporate Centre in Brussels, we are looking for an HR & Facility Officer.

Your function

As HR & Facility Officer, you will report to our Office Manager and collaborate closely with the HR department.

  • You provide support throughout the onboarding process:
    • Before the first day, you prepare the welcome bags and ensure that accesses & IT material are ready.
    • On the first day, you welcome the new colleagues and provide them with all practical information.
    • You liaise closely with the colleagues from HR and provide back-up for onboarding administration in case of holidays/absences
  • You manage the external workforce within the Ageas CC:
    • You coordinate the overall external workforce process (gather all requests, collect all necessary documentation and ensure that accesses & IT material are ready).
    • You ensure a timely and accurate reporting on the external workforce.
  • You manage and publish content for communicationrelated to Facility:
    • You keep employees well-informed about news & events through posts on Workplace.
    • You ensure that the information on the intranet is up to date.
  • You provide support for Fleet Management :
    • You ensure operational follow-up for the fleet (fuel cards, technical checks, fines, recalls, winter and summer tires, insurance, etc).
    • You liaise closely with the Office Manager and provide back-up for the overall fleet management in case of holidays/absences.
  • You are responsible for the operational management of all FIP(Flexible Income Plan) suppliers: benefit cars, bike leasings, IT material, …
  • You ensure follow-up ofall Facilities contracts and liaise closely with the Office Manager.
  • You ensure that the policies (Car / Access / Expense note policy etc.) are up to date.
Your profile
  • Next to a Bachelor or Master degree, you have a first experience in Facility or HR.
  • You are highly approachable, trustworthy and discrete.
  • You are a good team player but also able to work independently.
  • You are structured, hands-on, pragmatic and result oriented.
  • You have a profound knowledge of Microsoft Office (Excel, Word and PowerPoint).
  • You are fluent in English, Dutch and French.
