A communications and Administrative Assistant for a fixed-term contract ( half-time basis)
Context
We aim at educating the next generation of healthcare professionals and scientific knowledge to efficiently contribute to the development of innovative technologies and trategies.
Our vision is to bridge competencies and expertise from various disciplines and foster collaboration to contribute to patient-centered healthcare advances.
I³h is located on both Campus Solbosch and Erasme of the Université libre de Bruxelles (ULB), Brussels, Belgium. Multidisciplinary by nature, I³h is organized as a virtual institute, that is a collaborative research and education environment, linking complementary expertise to elaborate and educate on innovation in healthcare.
In 2016, the Université libre de Bruxelles (ULB) and the I3h Institute created, with the support of the Fund Baillet Latour, an Educational Program in Healthcare Innovation. The Educational Program aims to educate students, PhDs, post-docs and professionals operating in healthcare and related sectors. The portfolio spans different modules providing a holistic view of the health system, and develops the competencies to meet scientific, clinical and regulatory challenges but also address organizational, business, management and societal issues. I³h Institute is involved in multiple (European) projects: ADVANCE Erasmus+, Fondation Roi Baudouin, etc.
Missions
Support the implementation of the educational programmes and the organisation of events.
Assist in the effective organization of external and internal activities by handling logistics and travel arrangements.
Support in communications and administrative tasks for our various (European) projects.
Support I3h’s communications activities: website updates (WordPress), online publications (Twitter, LinkedIn), printed brochures, PowerPoint presentations, Canva, Adobe Suite is a plus.
Update tracking files, databases and other documents related to the logistics
Prepare and edit documents, spreadsheets, and presentations.
Provide standard information in response to queries in a timely manner and refer requests outside knowledge base to the appropriate person.
Monitoring expenses.
Handle ad hoc requests and queries from senior managers.
Assist in office management.
Help with I3h technical equipment and facilities.
Report to the Educational Program - Communication and External Relations Manager.
Please note that you will be asked to work on 2 Saturdays (19/03/2022 and 26/03/2022) that can be
recovered.
Profile
Have EU nationality and/or right to live and work in Belgium without a work permit.
You have a Bachelor in Communication or Administration and/or have previous experience in general office administration.
Applicants with a higher level of qualification (eg. Master’s) cannot be considered.
Persons holding a diploma not issued by the Fédération Wallonie Bruxelles must obtain an equivalence from the FWB ( http://www.equivalences.cfwb.be/index.php?id=486 ) .
Skills and knowledge required
You have excellent computer skills in Microsoft Office (Outlook, Excel, Word, PowerPoint).
Attention to detail and problem solving skills.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to multitask.
You strive for quality, are efficient and have good eye for details.
You are fluent in English (French or Dutch is a plus).
Knowledge and interest in healthcare is clearly a plus.
